Test procedures How to test a new version of ACT! With QuoteWerks

– Check for missing or incorrect data in ACT! Records QW creates -Check for duplicating or missing records in ACT! That QuoteWerks is should be creating or updating.

Pull in current contact info

– New quote, click on card button to pull in current contact. Was all the information correctly pulled in?

Search for an ACT! Contact

– New quote, click on the search button. Do a search by company, last name, phone number. Do they all work? Are the secondary contacts also being displayed? When selecting a contact for use does all the information correctly get pulled into the quote?

DataLink

– Configure data link to bring in a field from ACT! Into the QuoteWerks terms field and make sure this works both when pulling in the currently displayed contact and also when searching for and then selecting an ACT! Contact.

Create/Update linked document

– New quote, pull in current contact, save and choose linked document option.

– Make change to that same quote and save the changes, check in ACT! That the linked doc was updated.

– Check the Act attachments store folder to make sure that the dtf file was updated and that there are no additional or missing dtf files for that quote.

Create/Update Sales Opportunity for a quote

– Choose the save option to create an opportunity.

– Make a change to the amount in the quote and save again. This time select an opportunity to link to and then check in ACT! That the forecast was updated and the forecast and amount is listed for the selected opportunity.

– Create a new quote, pull in the current contact and save to create a forecast and on the forecast screen, choose to create a new opportunity in ACT! Then check in ACT that the opportunity was created and that all the correct information is in it, including dates, groups, etc.

– Then make a change to the amount on the quote and save to update the forecast. Check in ACT! That the opportunity amount was updated correctly.

–  Make sure that the Product is reflecting the QW document amount correctly Create/Update follow up call -new quote, pull in current contact, save and choose create follow up call

– Make changes to that same quote and save the changes, check the create/update follow up call option, change the follow up call data, and check in ACT! That the scheduled call was updated correctly.

Rename a quote

– Choose File |Rename to rename a quote that we already have a linked document, call, meeting, and to-do and sales opportunity for and make sure that the quote name was updated in all these records in ACT. Change the quote number

– Choose File |Save and change the document number for a quote that we already have a linked document, call, meeting, and to do and sales opportunity for and make sure that the quote name was updated in all these records in ACT. (Say YES to question about moving the links) Convert quote to an ORDER -Convert one of the saved test quotes to an order to verify that the forecast, call back, linked document, and profile/detail record are updated with the new order number and that no duplicated records are created. Do this with and without the “Preserve quote when converting to order” option.

Create/Update Completed Sale for “straight to Order”

– Create a New Order and save it for the first time, choosing the “Create/update Opportunity” option. Make sure the closed won opportunity is in ACT with the correct amount. Save changes to the Order

– Make a change to the order and choose all the create/update options and make sure it works. Convert quote to a LOST SALE

– Create new quote and when saving choose the options to create a call, meeting, and to-do, and sales opportunity and linked document. Then convert to lost sale.

– Verify that the opportunity is completed as lost. Save changes to the lost sale

– Make a change to the lost sale and choose all the create/update options and make sure it works. Printing ACT! Field data

– Modify a print layout to include a Contact Mgr. field from ACT! and then preview the layout to make sure the data is pulled from it. Then, move the current contact record in ACT! to a contact that is not embedded in the quote and preview again. The DataLink should still pull the data from the embedded quote record. Log sent email in history

-new quote, pull in current contact, save it. Then email the quote and check that the sent email is logged in ACT! history correctly.

– First set the qw email to SMTP and test that the email is logged correctly in ACT!

– Then set the email to Outlook and test that the email is logged correctly in ACT! F2 Lookup macro

– Test using an F2 Lookup macro like ~ACT!_Macro (TBL_CONTACT.SPOUSENAME) in the CustomText01 field on the Custom tab of the Quote workbook. NOTE, the field name in act is CASE SENSITIVE!

Get Tips and Tricks when you convert to a new version of Sage 50 from Sage Peachtree. The following are tips to make sure your data converts properly and a backup plan just in case.

  1. Backup up your current company files and program installation before you start.
  2. Print the general ledger trial balance and your last bank reconciliation report. Also print the accounts payable aging, accounts receivable aging and inventory valuation. The final reports you may need is the payroll YTD earnings if that applies to you.

You may not think you need these but if you do you will be glad you printed them.

  1. Upgrade your software and the first time you log into your company data it should ask begin to prompt you through the upgrade/conversion. There are limitations if you are on a really old version you may need help to upgrade to an intermediary version then to the most current version.
  2. Once the conversion is complete reprint the reports again in step 2 and make sure all the totals are the same.

QuickBooks Desktop Security Update – 800-475-1047 – Training – Support – Consultant – Reseller

QuickBooks has rolled out a new security update requiring some, not all, customers to update their passwords to have a ‘complex password’.  Depending on the information that is stored in your QuickBooks files, you may or may not be affected by this change.  Prior to this update, complex passwords were only required for those customers that enabled Credit Card Protection which allows for credit card information to be stored in your QuickBooks files.  Accounting professionals are also affected by this update as they now have to keep track of a large number of passwords across multiple clients, making it more complicated to keep track of QuickBooks user information.

Intuit says “Intuit has identified, and is implementing updates to address a security vulnerability in QuickBooks desktop software.  We are proactively notifying customers of the steps required to install an update, which is designed to address the security vulnerability, and regarding other steps they can take to protect themselves and their data.  To help protect customers, we don’t disclose specific details about security vulnerabilities that we discover.  The information could be used by criminals to find and take advantage of the vulnerability.  At this time, we know of no cases where anyone has taken advantage of this vulnerability to obtain sensitive information”

What Products are affected?

QuickBooks Online and QuickBooks for Mac are not included on this security update.  As of now, this update only affects QuickBooks Desktop (Pro, Premier, Enterprise and Accountant versions for Windows).  Only certain products are also affected depending on the year and revision of the product you’re running*.  Currently, if you don’t have these full revision numbers listed or later, this update will not affect your product.

  • QuickBooks 2016 R7_114
  • QuickBooks 2015 R10_15
  • QuickBooks 2014 R11_40

*Find the Product Information by pressing F2 while running QuickBooks.  The Product will say something like this: QuickBooks Accountant Desktop 2015 Release and below will list the Product Number that reflects R11_40 or alike.

What are Complex Passwords?

Complex Passwords are 7 characters in length containing at least one uppercase letter and At least one number.  This change also incorporates a recommended password change every 90 days and a minimum of 5 rotating passwords.  Meaning, you cannot use a password that has been used in the last 5 cycles.  At times, a required change of your complex password is necessary.  At the moment, QuickBooks 2016 and 2015 usually recommends this complex password change, while earlier versions are required to change their complex passwords every 90 days.

Remembering login’s and passwords can be difficult.  Post it notes or manual logs are not recommended even if you don’t think you have pertinent information to keep secure.  There are managers for keeping your user information and passwords secure.  Dashline is a simple to use manager that stores your user ID’s, passwords and even credit card information.  It also helps let you know the quality of your passwords, and will let you know if they need improvement.  This application is free for any single device.  Other managers to look at are LastPass, 1Password and Password Box.

Intuit is not giving you the option of keeping your data safe, they gave made the decision for you.  So even if you don’t think your data is worthy of being password protected you don’t have a choice.  Any accounting professional or IT professional strongly recommend protecting any and all data no matter how unimportant you think your files are.

What Prompts Complex Passwords?

Complex Passwords are ‘triggered’ by customer credit card information and personally identifiable information.  You are now required to have a complex password even if you have not enabled Customer Credit Card Protection

PCI Compliance**requires you to secure your files where you store credit card information for your clients.  QuickBooks made it so that your company is complaint with this standard to keep your company and your clients protected.  Complex passwords are mandatory if your company utilizes Customer Credit Card Protection and you are required to change them every 90 days with no less than 5 rotating password repetitions.

**The Payment Card Industry Data Security Standard (PCI DSS) is a proprietary information security standard for organizations that handle branded credit cards from the major card schemes including Visa, MasterCard, American Express, Discover, and JCB.

The second trigger that requires complex passwords is any record that has Personally Identifiable Information or PII.  According to Intuit, Personally Identifiable Information includes an employee record with a SSN even if you aren’t using Intuit Payroll, Employer Identification Number (EIN) or SSN in your Company Information, any bank account number or routing number located in your Chart of Accounts, or a Vendor Tax ID.  This complex password trigger may not require you to change your complex password every 90 days but will most likely recommend it.

Are Complex Passwords an Option?

Yes and No.  If this isn’t an update you want to affect your software, don’t install the update, remove all sensitive information listed above from your data and make sure you have not enabled Customer Credit Card Protection.  It is usually recommended to use the latest version and the most current updates installed.

Sage 100 Version 2019 Integrated Solutions Notes

When considering upgrading your Sage 100 if you are on older versions of MAS 90, MAS 200 or Sage 100 4.x or previous versions it is recommended to create a test environment. You may then perform a test conversion, reconfigure any necessary reports, UDF and UDT’s. Finally perform all necessary data processing in the test environment to confirm all data converted is accurate and all transactions can be handled as expected.

Note: It is critical that before and during an installation, the Sage upgrade be thoroughly reviewed, along with the Sage 100 Installation and System Administrator’s Guide and other documents found on the Sage Support web site.

Note for details on any 3rd party add-on for Sage 100 please visit the Vendor website for updates as content and compatibility constantly is updated. The vendor can also confirm if their product and the version of your Sage 100 software is compatible and that they continue to provide support. The integrated product’s website should also confirm the most current information regarding that products compatibility with 64-bit versions of Windows.

 Can I run multiple instances of Sage 100 Crystal Reports?

Only one version of Crystal Reports may be active on a machine at one time. For example, if you install Workstation Setup for Sage 100 2018 (which comes with the runtime engine for Crystal Reports 2016) on a workstation that already has Workstation Setup for Sage 100 2017 (which comes with the runtime engine for Crystal Reports 2011) installed, you will encounter an error when attempting to print from within Sage 100 2017.

Are all versions of Crystal Reports compatible with all versions of Sage 100?

Avoid using incompatible versions of Crystal Reports to create or modify reports or forms for Sage 100. For example, do not use Crystal Reports 10 to create or modify reports for Sage 100 versions 2013 and higher, and do not use Crystal Reports 2011 to create or modify reports for Sage 100 2018 and higher!

Can I print existing forms and reports without having Crystal Reports Designer for Sage 100 installed?

It is not necessary to install Crystal Reports Designer in order to print and preview reports and forms from within Sage 100. The Workstation Setup client install, which allows users to log into Sage 100, also includes a Crystal runtime engine.

However, Crystal Reports Designer is necessary if you want to create and modify Crystal Reports forms and reports. Please note that Sage Customer Support cannot assist with customization Crystal Reports forms and reports, nor with troubleshooting them.

If I have Sage 100 do, I need to purchase Sage 100 Crystal Reports?

A copy of Crystal Reports Designer is included with the Sage 100 install downloads (previously, the installation discs) from Sage. Sage Customer Support strongly suggests that you to install and use the copy that is included with the specific version of Sage 100.

If I already own SAP Crystal Reports licenses can I use them with Sage 100?

Copies obtained from another manufacturer may be slightly different, may or may not include certain patches and hot fixes, and may not be compatible – even if of the same version. Because only one version of Crystal Reports can be installed on a machine at one time, if two different software products use different versions of Crystal Reports, you have to choose.
