QuickBooks Desktop Security Update – 800-475-1047 – Training – Support – Consultant – Reseller

QuickBooks has rolled out a new security update requiring some, not all, customers to update their passwords to have a ‘complex password’.  Depending on the information that is stored in your QuickBooks files, you may or may not be affected by this change.  Prior to this update, complex passwords were only required for those customers that enabled Credit Card Protection which allows for credit card information to be stored in your QuickBooks files.  Accounting professionals are also affected by this update as they now have to keep track of a large number of passwords across multiple clients, making it more complicated to keep track of QuickBooks user information.

Intuit says “Intuit has identified, and is implementing updates to address a security vulnerability in QuickBooks desktop software.  We are proactively notifying customers of the steps required to install an update, which is designed to address the security vulnerability, and regarding other steps they can take to protect themselves and their data.  To help protect customers, we don’t disclose specific details about security vulnerabilities that we discover.  The information could be used by criminals to find and take advantage of the vulnerability.  At this time, we know of no cases where anyone has taken advantage of this vulnerability to obtain sensitive information”

What Products are affected?

QuickBooks Online and QuickBooks for Mac are not included on this security update.  As of now, this update only affects QuickBooks Desktop (Pro, Premier, Enterprise and Accountant versions for Windows).  Only certain products are also affected depending on the year and revision of the product you’re running*.  Currently, if you don’t have these full revision numbers listed or later, this update will not affect your product.

  • QuickBooks 2016 R7_114
  • QuickBooks 2015 R10_15
  • QuickBooks 2014 R11_40

*Find the Product Information by pressing F2 while running QuickBooks.  The Product will say something like this: QuickBooks Accountant Desktop 2015 Release and below will list the Product Number that reflects R11_40 or alike.

What are Complex Passwords?

Complex Passwords are 7 characters in length containing at least one uppercase letter and At least one number.  This change also incorporates a recommended password change every 90 days and a minimum of 5 rotating passwords.  Meaning, you cannot use a password that has been used in the last 5 cycles.  At times, a required change of your complex password is necessary.  At the moment, QuickBooks 2016 and 2015 usually recommends this complex password change, while earlier versions are required to change their complex passwords every 90 days.

Remembering login’s and passwords can be difficult.  Post it notes or manual logs are not recommended even if you don’t think you have pertinent information to keep secure.  There are managers for keeping your user information and passwords secure.  Dashline is a simple to use manager that stores your user ID’s, passwords and even credit card information.  It also helps let you know the quality of your passwords, and will let you know if they need improvement.  This application is free for any single device.  Other managers to look at are LastPass, 1Password and Password Box.

Intuit is not giving you the option of keeping your data safe, they gave made the decision for you.  So even if you don’t think your data is worthy of being password protected you don’t have a choice.  Any accounting professional or IT professional strongly recommend protecting any and all data no matter how unimportant you think your files are.

What Prompts Complex Passwords?

Complex Passwords are ‘triggered’ by customer credit card information and personally identifiable information.  You are now required to have a complex password even if you have not enabled Customer Credit Card Protection

PCI Compliance**requires you to secure your files where you store credit card information for your clients.  QuickBooks made it so that your company is complaint with this standard to keep your company and your clients protected.  Complex passwords are mandatory if your company utilizes Customer Credit Card Protection and you are required to change them every 90 days with no less than 5 rotating password repetitions.

**The Payment Card Industry Data Security Standard (PCI DSS) is a proprietary information security standard for organizations that handle branded credit cards from the major card schemes including Visa, MasterCard, American Express, Discover, and JCB.

The second trigger that requires complex passwords is any record that has Personally Identifiable Information or PII.  According to Intuit, Personally Identifiable Information includes an employee record with a SSN even if you aren’t using Intuit Payroll, Employer Identification Number (EIN) or SSN in your Company Information, any bank account number or routing number located in your Chart of Accounts, or a Vendor Tax ID.  This complex password trigger may not require you to change your complex password every 90 days but will most likely recommend it.

Are Complex Passwords an Option?

Yes and No.  If this isn’t an update you want to affect your software, don’t install the update, remove all sensitive information listed above from your data and make sure you have not enabled Customer Credit Card Protection.  It is usually recommended to use the latest version and the most current updates installed.

Sage 100 Version 2019 Integrated Solutions Notes

When considering upgrading your Sage 100 if you are on older versions of MAS 90, MAS 200 or Sage 100 4.x or previous versions it is recommended to create a test environment. You may then perform a test conversion, reconfigure any necessary reports, UDF and UDT’s. Finally perform all necessary data processing in the test environment to confirm all data converted is accurate and all transactions can be handled as expected.

Note: It is critical that before and during an installation, the Sage upgrade be thoroughly reviewed, along with the Sage 100 Installation and System Administrator’s Guide and other documents found on the Sage Support web site.

Note for details on any 3rd party add-on for Sage 100 please visit the Vendor website for updates as content and compatibility constantly is updated. The vendor can also confirm if their product and the version of your Sage 100 software is compatible and that they continue to provide support. The integrated product’s website should also confirm the most current information regarding that products compatibility with 64-bit versions of Windows.

 Can I run multiple instances of Sage 100 Crystal Reports?

Only one version of Crystal Reports may be active on a machine at one time. For example, if you install Workstation Setup for Sage 100 2018 (which comes with the runtime engine for Crystal Reports 2016) on a workstation that already has Workstation Setup for Sage 100 2017 (which comes with the runtime engine for Crystal Reports 2011) installed, you will encounter an error when attempting to print from within Sage 100 2017.

Are all versions of Crystal Reports compatible with all versions of Sage 100?

Avoid using incompatible versions of Crystal Reports to create or modify reports or forms for Sage 100. For example, do not use Crystal Reports 10 to create or modify reports for Sage 100 versions 2013 and higher, and do not use Crystal Reports 2011 to create or modify reports for Sage 100 2018 and higher!

Can I print existing forms and reports without having Crystal Reports Designer for Sage 100 installed?

It is not necessary to install Crystal Reports Designer in order to print and preview reports and forms from within Sage 100. The Workstation Setup client install, which allows users to log into Sage 100, also includes a Crystal runtime engine.

However, Crystal Reports Designer is necessary if you want to create and modify Crystal Reports forms and reports. Please note that Sage Customer Support cannot assist with customization Crystal Reports forms and reports, nor with troubleshooting them.

If I have Sage 100 do, I need to purchase Sage 100 Crystal Reports?

A copy of Crystal Reports Designer is included with the Sage 100 install downloads (previously, the installation discs) from Sage. Sage Customer Support strongly suggests that you to install and use the copy that is included with the specific version of Sage 100.

If I already own SAP Crystal Reports licenses can I use them with Sage 100?

Copies obtained from another manufacturer may be slightly different, may or may not include certain patches and hot fixes, and may not be compatible – even if of the same version. Because only one version of Crystal Reports can be installed on a machine at one time, if two different software products use different versions of Crystal Reports, you have to choose. History of FRx

Microsoft FRx was created by the FRx Software Corporation in Denver, Colorado. The first FRx product was a DOS-based application that originally shipped around 1991 and integrated with The Platinum Series for MS-DOS, an accounting suite created by Advanced Business Microsystems (now Epicor) and marketed in a joint venture with IBM. A Windows-based version of FRx was available in 1993. FRx Software was acquired by Great Plains Software, which itself was purchased by Microsoft, where it was run as a wholly owned subsidiary. FRx was integrated with numerous general ledger systems.

FRx Desktop is a full-featured, graphical reporting tool that comes bundled with the Sage MAS 200 General Ledger module. It also provides multi-company consolidation and robust security.

You may have tried recently to download the latest FRX service pack 11 from Sage. Unfortunately, as of January 31, 2011 Sage is no longer able to distribute service packs due to Microsoft (who publishes FRX) discontinuing sales of FRX (support however extends to December 2012).

If you need to download FRX 6.7 Service Pack 11 (aka R11670) you can check the Microsoft Knowledgebase for availability.

Converting FRx Reports to Sage Intelligence

The ease of use for the Report Designer in Sage Intelligence can convert your FRx financial reports into Sage Intelligence. Using Microsoft Excel, the Report Designer Add-in allows you to map (Rows, Columns, and Reporting Trees) to the FRx and convert your report layouts, add formulas. Once converted the user can then save the designs as new Sage Intelligence reports.

Step1. Installed Sage Intelligence and the Sage Intelligence Report Designer Add-In

Software Requirements

  • FRx 6.7 Service Pack 11
  • Sage MAS 90 and 200 Intelligence 4.4 or later
  • Sage Intelligence Report Designer Add-In
  • Sage Intelligence Report Designer License
  • Sage Intelligence Report Manager License
  • Active Connector License (Required for Multi- Company Consolidations only)
  • Microsoft Excel 2007 or Microsoft Excel 2010 32 bit

Step 2.

  • Understanding How FRx Report Concepts Relate to Sage Intelligence
  • FRx and Sage Intelligence are similar as they both allow you to build reports using report building blocks.
  • FRx report building blocks are known as Row Formats, Columns Layouts and Reporting Trees.

The model behind the Sage Intelligence Report Designer Add-In is to break down a report into reusable building blocks and then allows you to control where and how these building blocks fit together to create a report using an excel spreadsheet as their design platform. The Sage Intelligence building blocks are Lists, Formulas and Trees and are made available via the Task Pane inside Excel. Both FRX and Sage Intelligence use the standard Excel functions making the task easier for users who are proficient in Excel.

Step 3. Prepare the FRx report to be exported

  • Open FRx Report Designer.
  • Log in to the Company which contains the reports you wish to convert.
  • Select Catalog of Reports.
  • Select the Catalog ID of the report you wish to convert.
  • Click Open.
  • Click Open Column in the toolbar.
  • Ensure there is a column of type ACCT and DESC. This will ensure the Account Code and Descriptions from the Row Format are exported. If either of the columns are not present, add them
  • Save and Close the Columns.
  • Select Report Options.
  • Under Formatting ensure that the option Display rows with no amounts is selected. This will ensure that all of the accounts are exported even if it has zero balances.
  • Click Report Options, Tree Options.
  • Ensure the Page breaks option is set to either, before each reporting unit or Use reporting tree.

Step 4. Export the FRx report to Microsoft Excel

  • Click Output, Output Options.
  • Change the output type to Formatted Excel (XLS, XLSX).
  • In order for the report to be compatible with the Sage Report Designer Add-In report, the report must be saved in the latest format. Change the file name extension to .XLSX.
  • Select all available options
  • Select generate report

Step 5. Convert the data to Sage Intelligence Reporting formulas

The next step is to copy the static FRx report created previously in the Exporting Reports topic and convert it to a report that Sage Intelligence Reporting can execute against your ERP database

Step 6. Save the report into Sage Intelligence

  • Save the Report to Sage Intelligence Reporting
  • Open the Sage Intelligence Reporting Report Manager.
  • Right-click on the report for which the changes were made, and select Create and Link Template.

Step 7. Review

  • Print
  • Review
  • Verify the Report Data

Compare the results generated in FRx to the results generated in Sage Intelligence confirming the report is converted and working properly with the same results.

Frx Training Classes – Sample Company FRx in FDD Setup

Follow the steps below to set up the FDD company within FRx. Complete each step in the order listed.

  1. Log on to FRx.
  2. From the Company menu, select Information.
  3. Click New.
  4. Enter FDD as the FRx company code and FDD Company as the company name.
  5. From the Specification Set drop down list in the FRx System Information tab, select FDD as thespecification set
  6. Click the System Specific Information tab and enter FDD as the company.
  7. Select the drop-down list from the Data Source field and select FRX_MAS (or the DSN you created) as the data source to the MAS90 directory.

Note: If using FRx with multiple installations of Sage MAS 90 and 200, it is recommended to create a separate DSN to access those files. Refer to the README document included with the FRx installation for information on how to create a System DSN.

  1. Click Save and click Save as Default.

Note: You will use FDD for in-class activities.

  1. Close Company Information.

Creating a Specification Set

You must create the following specification sets for use with the Sage MAS 90 companies.

From the Company menu in FRx, select Specification Sets. Define the following specification set.

Save the new specification set and select the Import button to import the file from the Beg_Spec.tdb now located in the IO_Data directory.

Create an FDD company and set up FDD as the default specification set in FRx under Company Information. Verify setting under the System Specification Information tab for the FDD company in FRx.

Lesson for Accounting Terms used in Accounting Software Systems

A

Accounts Payable: The amount owed to others called vendors for services or merchandise received by the organization.

Accounts Receivable:  The amount owed to the organization for services or merchandise provided to others referred to as clients.

Accrual-Basis Accounting:  A system of financial record keeping in which transactions are recorded as expenses when they are incurred (i.e. when a bill is received for merchandise or services provided to the organization) and as income when it is earned (i.e. when services or merchandise is provided by the organization, or the organization receives a commitment of a contribution) rather than when cash is paid or received. The alternative accounting method is Cash-basis accounting.

Accrued Expense:  Expenses that have accumulated, but are not yet due or payable based on payment terms with the vendors.

Accrued Interest:  Loan or Bank Interest costs that have accumulated, but are not yet due or payable.

Allocation:  A method of accounting that divides expenses among different classification, division, program or administrative catagories based on a formula that recognizes the use of the resources such as use of the facility or staff time.

Allowance for Doubtful Accounts:  An amount reflecting the portion of the accounts receivable which the organization reasonably believes it may not collect.

Assets:  What is owned by the organization. Examples are automobiles, equipment etc.

Audit:  A financial report that has been tested and verified for accuracy and prepared in accordance with Generally Accepted Accounting Principles. An essential component of the audit is the Opinion Letter.

B

Balance Sheet:  These balances are perpetual and may change on a daily or less frequent basis. This financial statement reflects the financial condition – Assets, Liabilities, and Net Assets – of the organization at a particular moment in time. Referred to as a Statement of Financial Position in the nonprofit sector.

Board-Designated Funds:  A condition placed by an organization’s board of directors on how an amount of money is to be used. A common type of board designation is for Operating Reserves. For accounting purposes, these funds are considered unrestricted because the condition was not specified by a donor.

Bridge Loan:  A short-term loan with a specific repayment source typically from 3rd party providers, private equity, venture capital groups, family and friends.

C

Capital Expenditure:  Payment of money to acquire fixed assets, such as a building or equipment

Capitalizing an Asset:  Recording the cost of land, a building or equipment as fixed assets rather than as an expense when purchased.

Cash Equivalents:  Funds which can be quickly and easily converted to cash; those bank accounts, money market funds or other investments which mature within 90 days.

Cash-Basis Accounting:  A system of financial recordkeeping in which transactions are recorded as cash is received or spent.

Cash Flow:  The movement of cash into and out of an organization; or the difference between cash receipts and cash disbursements during a period of time. The question is always is there more cash coming in than going out?

Cash Flow Statement:  A report of incoming and outgoing cash during a specified period of time. Most often the beginning period cash balances, expected incoming cash and outgoing cash to forecast available cash at a future date in time.

Chart of Accounts:  A report of all accounts used in accounting system, including assets, liabilities, income and expenses.

C+

Collateral:  An asset (cash, buildings or other securities) which is pledged to a lender in return for a loan. Once the loan is paid in full the asset belongs to the original owner. In the event of default on a loan, the lender legally owns the right to obtain or sell the collateral to repay the loan.

Committed Grant:  A contribution for which the organization has received a formal notification from the donor that an award will be made at a future date.

Conditional Promise to Give:  A commitment by a donor to make a contribution to the organization if a specific requirement is met. The agreement becomes binding once the requirement is met.

Contribution:  A donation, gift or transfer of cash or other assets.

Current Assets:  Cash, investments, receivables, and other assets that can be expected to be available as cash within twelve months.

Liabilities and Current Liabilities:  Those liabilities due to be paid now or within the next twelve months.

Current Portion of Long-Term Debt:  The amount of the principal payments due and payable on loans within the next twelve months, if the original term of the loan was longer than one year.

D

Deferred Revenue:  Income for which payment has been received before it has been earned. It is reflected as a liability on the Balance Sheet until it is earned and can be recognized as income in a future accounting period.

Deficit:  Expenses in excess of income; an operating loss or a negative change in Net Assets.

Depreciation:  The recognition, by recording an expense, of the decrease in value of a fixed asset over its expected physical or economic life. The value of Land is not depreciated.

Direct Costs:  Those expenses which are specifically attributable to a program area or cost center typically, these are cost of goods sold.

E

Earned Revenue:  Income received for providing services or goods, rather than as a voluntary contribution.

F

Financial Accounting Standards Board (FASB):  The national governing board which sets the accounting standards known as Generally Accepted Accounting Principles (GAAP).

Fixed Assets:  An asset that has a relatively long useful life, usually several years or more.

Functional Expenses:  Categories of expense delineated by the type of expense: program services, management & general, and fundraising. Required for IRS form 990 and audited financial statements. Often reflect the use of allocations.

Fund Accounting:  Typically, used by nonprofits. A system of accounting based on separating information into groups which reflect organizational divisions or donor-imposed restrictions.

G

General Ledger:  A general ledger represents the record-keeping system for a company’s financial data

Generally Accepted Accounting Principles (GAAP):  The set of norms and standards of nonprofit accounting practices established by the Financial Accounting Standards Board (FASB) to help ensure the accuracy and consistency of financial records and reports.

Grants:  Contributed assets given by an individual or another organization with no reciprocal receipt of services of goods. Sometimes are given with a legal restriction imposed upon its use.

I

Income Statement:  An income statement or profit and loss account is one of the financial statements of a company and shows the company’s revenues and expenses during a particular period.

In-kind Contribution:  refers to goods, services, and transactions not involving money or not measured in monetary terms.

Internal Controls:  The system of practices, procedures and policies intended to safeguard the assets of the organization from fraud or error and ensure accurate recordkeeping.

Liabilities:  What the organization owes to others, including accounts payable, debts, mortgages and other obligations to pay.

Long-Term Debt/Liabilities:  An obligation to pay a loan or other obligation with a maturity or due date of more than one year.

N

Net Assets:  The difference between the organization’s total assets and its total liabilities on the balance sheet indicating the net financial worth for the organization. Net assets is the accumulation of the difference between cumulative income less cumulative expenses over the life of the organization. Divided into Unrestricted, Temporarily Restricted, and Permanently Restricted net assets.

Net Fixed Assets:  The value of land, buildings, equipment and other fixed assets owned by the organization after the deduction of the accumulated depreciation of those assets.

Notes Payable:  In accounting, Notes Payable is a general ledger liability account in which a company records the face amounts of the promissory notes that it has issued. The balance in Notes Payable represents the amounts that remain to be paid.

Notes Receivable:  The amount an organization is owed for loans made to others.

O

Operating Expense:  General term for expenses incurred for all the activities of the organization.

Operating Reserve:  An unrestricted fund balance set aside by the organization’s board to stabilize an organization’s finances by providing cash as a cushion for planned or unplanned future expense or losses.

Overhead:  Overhead refers to the ongoing business expenses not directly attributed to creating a product or service. Typically, this is a calculated amount or percentage.

Permanently Restricted Funds:  Funds which the donor has indicated may not be spent by the organization, but which are invested to produce a stream of income that can be spent. Frequently called an endowment

P

Pledge:  A formal commitment to make a contribution of a specific amount.

Prepaid Expense:  Prepaid expenses are future expenses that have been paid in advance

R

Refinance:  To replace one loan with another, usually in order to extend the maturity, change the payment amount, or to consolidate several loans.

Release from Restrictions:  The accounting transaction used to transfer temporarily restricted funds into an organization’s unrestricted accounts when the restriction has been satisfied (such as when a special project is initiated).

Reserves:  An amount set aside by the Board to be used in case of losses or an unexpected expense.

Restricted Funds:  Contributions which are designated by the donor for a specific use. See also temporarily restricted funds and permanently restricted funds.

Revenue:  In accounting, revenue is the income that a business has from its normal business activities, usually from the sale of goods and services to customers.

S

Secured Loan:  A loan for which something of value is pledged in the case that repayment cannot be made.

Short-Term Debt/Liability:  A loan which is issued with a final payment date of one year or less.

Social Entrepreneurs: People who act as the change agents for society, seizing opportunities others miss and improving systems, inventing new approaches, and creating solutions to change society for the better. While a business entrepreneur might create entirely new industries, a social entrepreneur comes up with new solutions to social problems and then implements them on a large scale.

Social Enterprise: An organization or venture (within an organization) that advances a social mission through entrepreneurial, earned income strategies.

Socially Responsible Business: A venture (generally for-profit) that seeks to leverage business for a more just and sustainable world.

Support:  Income from voluntary contributions and grants (as distinct from revenue, or earned income).

T

Technical Assistance (TA):  Help and advice provided on a specialized subject matter.

Temporarily Restricted Funds:  Contributions given by the donor or granting organization for a specific use or for use during a specific period of time. The limitation is satisfied at a defined time or when certain activities have been performed and the funds are released from restriction.

U

Unconditional Promise to Give:  A pledge to make a contribution of cash or another asset without requiring the organization to meet any condition prior to receiving the contribution.

Unrealized Gain (loss):  Unrealized gains and losses occur any time a capital asset you own changes value from your basis.

Unrestricted Funds:  Contributions given without the donor placing any restrictions or limitations as to their use.

Unsecured Loan:  A loan made without collateral.

W

Working Capital:  Working capital is a financial metric which represents operating liquidity available to a business.

If you earn any interest or the bank makes any credit adjustments you will need to record them in your checkbook register. Interest earned typically appears on the front of your bank statement or may be a separate statement altogether depending on how many checking accounts you have. Credit adjustment amounts could be for items such as bank corrections. Interest earned and credit adjustments will be added to your balance.

If you have any service charges you will need to record them in your checkbook register. These types of adjustments could be for charges such as monthly service charges, per check charges, ATM transaction charges and non-sufficient funds fees. Allocation:  A method of accounting that divides expenses among different program, administrative, and fundraising categories based on a formula that recognizes the use of the resources such as use of the facility or staff time.

Allowance for Doubtful Accounts:  An amount reflecting the portion of the accounts receivable which the organization reasonably believes it may not collect.

Possible one of the most confusing aspects of creating an integrated accounting software and manufacturing management system is about how inventory is kept.

In larger, industrial-strength Enterprise Resource Planning (ERP) systems, there is usually a clear distinction between finished goods inventory (often referred to as “distribution inventory” or sales inventory”) and the raw materials inventory.  Indeed, ISO standards and other “best practices” dictate that the finished goods inventory and the raw materials inventory must be kept physically isolated and controlled separately.  ERP systems respect this need for isolation.

Education on  “best practices” should be considered along with a formal way of controlling inventory (a controlled stockroom).  More than one of our clients, using a “take what you need” inventory control system, have wondered why their manufacturing operation seemed to be so horrible out of control.  The answer is, obviously, “You must start by controlling the inventory.”

Often “Inventory Control” is listed among its many features.  Of equally good chance is that the inventory control module of their accounting system deals only with the sales distribution side of the house, not the manufacturing side.

Many manufacturing companies make the mistake of trying to use their accounting system’s inventory module to help them control their raw materials inventory.  Work in process (WIP), and sub-assembly production.  Only after typing in thousands of raw material part numbers and attempting to perform the most basic manufacturing processes do they discover how ill-equipped their software is to perform the required tasks.
